Brief

To undertake a review of the data presented by the FM provider to the board members of a global telecoms organisation, in respect of space occupancy utilisation at its out-of-town HQ campus comprising of six buildings.

Approach

In order to ascertain the constituent parts of the report, regarding how data was gathered, analysed and ultimately reported, Sonny Hasan + Associates had to get an understanding of the reporting platforms and methodology employed.

Outcome

The report highlighted:

  • Current gathering of data, interpretation and reporting gave an inaccurate picture of overall occupation vs permissible capacity  
  • A common language and consistency in reporting was misleading to the end user
  • Inability to benchmark campus density vs other occupied premises vs UK best practice
  • The supply of information from the various sites was sub-standard for the efficient, accurate and, more importantly, cost-effective maintenance of up-to date plans of the portfolio. 

The recommendations were that guidelines, standards and templates were set up and put in place, and operatives trained to record information in an accurate and informative format to allow the required update to be carried out in an efficient and effective manner. Recommended a cost benefit analysis be carried out against employing a designated person to take on board the printing requests from the organisation or to out-source the offering.  


The findings and recommendations were taken on board, the latter was out-sourced.
